How do I check the status of my application?
After submitting their documents to the provincial office, many foreigners wonder what stage their case is at. In the digital age, the status of an application can be checked in several ways. Online methods are the most convenient, but traditional options are also available. Knowing all the options available allows you to monitor the progress of your case in real time and plan further action.
Checking the status of your application online
The most popular tool is EWP portal (Electronic Exchange of Letters) available at ewp.gov.pl. After logging in with a trusted profile, e-card or electronic signature, you can:
- keep track of all the cases handled by public administration offices,
- receive official correspondence electronically,
- check the current stage of the procedure, the date of receipt of the application and the expected date of processing.
The system operates 24 hours a day, all week long. Many provincial offices also provide their own case status search engines, where the case number and personal details of the applicant must be entered.
Alternatives
If you cannot or do not want to use the internet, you can check the status of your application in another way:
- call the authority's helpline, quoting the case number and your details,
- go in person to the customer service point and, on presentation of an identity document and confirmation of the application, obtain information,
- entrust the case to an attorney, e.g. a lawyer or advisor, who will monitor the status on your behalf.
How to interpret status messages?
Status messages can vary:
- "In progress" means that the office is analysing the documents and the case is under consideration,
- "Call for supplementation" indicates that you have to provide additional documents or clarifications within the deadline,
- "Ready for collection" means that the decision has been issued and can be collected.
In the event of a deficiency call, it is important to act promptly to avoid leaving the application unprocessed.
Why check the status regularly?
The standard processing time for applications is:
- temporary stay - up to 2 months,
- permanent residence - up to 3 months,
- residence of a long-term EU resident - up to 3 months,
- residence for humanitarian reasons - up to 6 months.
For more complex cases, the office may extend the deadline and will inform you in writing. Some systems allow you to set up SMS or email notifications of changes to your case.
Receipt of the decision
When the status changes to 'ready for collection', go to the office with your identity document. You can also collect the decision through an attorney or ask for it to be sent to you by post.
Practical tips
- Write down the case number from the receipt - without it, it will be difficult to contact the office.
- Keep all documents, correspondence and confirmations until the case is finally concluded.
- If you have technical problems with the online systems, contact the office by telephone or in person.
By regularly checking the status of your application, you will be kept informed of the stage of the proceedings and avoid unnecessary delays or complications.
